Work Orders Screen Reference
Find deployed remedial work, update items, and move a work order through its mobile execution states.
Before you start
- The mobile Work Orders feature and workspace capability are enabled.
- The work order is visible to you in the active workspace.
Expected outcome
You can execute a work order without confusing mobile delivery with office planning.
Access and list
Work Orders requires the mobile_work_orders feature and the resolved Work Orders capability. Field roles see records allowed by assignment and deployment rules.
The list:
- searches work-order number, customer, and site;
- filters All, Pending, In Progress, Completed, or Cancelled;
- loads additional result pages;
- shows priority, status, assignment, schedule, and item progress;
- opens one Work Order Detail record.
Dashboard and Search can also open an accessible work order directly.
Work Order Detail
Detail shows customer contact links, site, originating quote, priority, assigned engineers, scheduled and lifecycle dates, item progress, description, and notes.
| Current state | Available execution action |
|---|---|
| Pending | Start Work, Cancel, toggle items; Delete only for personal work or an authorised workspace manager. |
| In Progress | Complete, Cancel, toggle items. |
| Completed or Cancelled | Read-only execution state. |
Completing the work order marks remaining items complete and resolves linked defects after confirmation. Status updates use record-version conflict protection: if someone changed the work order first, the app reloads the latest record and asks you to review before retrying.
Boundaries and recovery
- Email and phone links hand off to the device’s external apps.
- The mobile screen does not assign crews, plan routes, or deploy work.
- A field user can lose access if the record is undeployed, reassigned, or outside the active workspace.
- Failed item or status changes show an error; refresh before repeating an action whose outcome is unclear.
