Managing Offline Work, Sync, Search, and Settings
Stay productive with weak signal, understand sync state, and use the search and help tools that affect daily field work.
Before you start
- You have signed in on the device at least once.
- The device already holds the local workspace data for your upcoming work.
- You know how to reopen the inspection or draft you are working on.
Expected outcome
You can continue working with poor connectivity, recover from delayed sync, use search intentionally, and avoid mistaking feature gating for device failure.
Work offline with confidence
- Continue the visit in the app even when signal drops.
- Avoid splitting the live inspection record across separate notes apps unless you have no other option.
- When signal returns, check sync state instead of assuming everything already uploaded.
Use sync tools deliberately
- Watch the sync indicator when you need confirmation that the office can now see the same finished record.
- Distinguish
Pending,Failed,Blocked, andConflict: pending work is waiting, failed work can be retried, blocked work is retained locally until write access returns, and a conflict needs a resolution choice before retry. - If uploads are pending, wait for a stable connection and use Sync Now. Use Retry Failed only for failed items.
- If the app restarts after a weak-signal period, reopen the visit and verify the latest local state before continuing.
Use search and help for speed
- Use search to jump straight to a site, inspection, asset, or defect. Quotes and work orders appear only when their feature and capability are available.
- Search is an online, access-scoped server query with a two-character minimum; it is not a search of every record cached on the device.
- If search returns an empty state, check the active filter or search term before assuming the record has disappeared.
- Use visit references and site names when looking for recent inspections, because the app now presents visit context more consistently across lists and detail screens.
- Open Help from your profile when you need support links or the public docs hub.
- Use the docs hub for full workflows and troubleshooting when the FAQ answer is too shallow.
Treat missing features as availability checks first
- If AI Assistant, Quotes, Work Orders, or Analytics do not appear, check whether the workspace exposes them before assuming sync failed.
- Missing access is often a workspace or feature decision, not a broken phone.
Troubleshooting
| Problem | What to check |
|---|---|
| The office team cannot see your finished work | Check sync state first. A completed local record is not the same as a completed upload. |
| The app restarted and you are worried work was lost | Re-open the visit, confirm the local state, and only resume after you verify the current record. |
| You cannot quickly find the site or asset you need | Use search or QR tools instead of drilling through multiple screens manually. |
| Search says there are no matches | Confirm connectivity and enter at least two characters. Results remain limited to the active workspace and records you may access. |
Reference surfaces
- Use Search, Sync Status, and Settings, Profile, Help, and Subscription for the supporting surfaces behind this guide.
- Use AI Chat, Quotes, and Work Orders when the missing-or-gated feature question involves commercial or AI screens.
- Check Settings, Profile, Help, and Subscription when a screen is unavailable but Sync Status is healthy; role, workspace, or plan availability may be the cause.
