Using Operations Dashboards
Use Dashboard, Insights, and Scheduling forecast to find operational pressure and open the route that owns the fix.
Before you start
- The workspace has live operational, CRM, scheduling, report, or finance data.
- You understand which desk owns each record type.
- Analytics and scheduler capabilities are enabled where needed.
Expected outcome
Office teams can triage commercial, data-quality, workforce, and future-capacity pressure without editing records from the wrong surface.
Start on Dashboard
- Open
Dashboard. - Review urgent operational and commercial cards first.
- Open the owning desk from the card rather than trying to fix the summary.
- Use quote, work-order, finance, inspection, defect, and scheduling links to continue the workflow.
The dashboard includes commercial finance attention such as accepted quotes not invoiced, completed work orders not invoiced, overdue invoices, PO blockers, and credit-hold accounts. It also includes sent quote aging, so old sent quotes do not disappear from daily triage.
Use Insights data quality for record hygiene
- Open
Insights, then chooseData Quality. - Check Open Issues, Critical, Warnings, and Active Rules.
- Review rule coverage badges to see which rules are enabled by current workspace capabilities.
- Open each sample from the owning rule.
- Fix the source record in the owning desk.
- Mark the sample reviewed only when it has genuinely been handled.
Data Quality currently checks:
| Rule | Owner |
|---|---|
| Missing Site Location | Sites |
| Sites Without Assets | Assets |
| No Billing Contact | Customers |
| Routine Scope Gaps | Routines |
| Stale Open Defects | Defects |
| Draft Report Queue | Reports |
| Draft Handover Packages | Client Handover |
| CRM Link Mismatch | Customers |
Rules that depend on CRM or Reports are disabled when that workspace capability is not available.
Use Insights workforce for aggregate delivery review
- Open
Insights, then chooseWorkforce. - Choose
30 Days,90 Days, orThis Month. - Review completed jobs, assets inspected, late or rebooked jobs, and QA follow-up.
- Use the engineer table to compare completed work, job split, average hours, acknowledgement rate, late or rebooked counts, and QA counts.
- Drill into Jobs or QA from the table.
The Workforce section provides aggregate management signals. Use it to find patterns, then open Scheduling, Work Orders, Inspections, or Defects for source-level correction.
Use Scheduling forecast for future workload
- Open
Scheduling, then choose theForecastview. - Review the 12-month volume and estimated-hours charts.
- Check unassigned and bucketed workload.
- Review service-line pressure, regional load, and site load.
- Drill into Scheduling from the month, service line, region, or site.
The Forecast view uses future inspections, work orders, and planner tasks. Keep target-month work and generated routine work current so the forecast reflects real demand.
Fix in the owning desk
| Signal | Owning desk |
|---|---|
| Missing postcode or geocode | Sites |
| Empty asset register | Assets or Systems |
| Billing contact gap | Customers |
| Routine scope or generation blocker | Customers, then Scheduler |
| Stale defect | Defects, then Quotes or Work Orders |
| Draft handover package | Client Handover |
| Accepted quote not invoiced | Quotes, then Finance |
| Completed work order not invoiced | Work Orders, then Finance |
| Late or rebooked jobs | Scheduling |
| QA follow-up | Defects or Inspections |
Troubleshooting
| Problem | What to check |
|---|---|
| A dashboard looks empty | Check workspace capability, role, and whether the source desk has matching data. |
| Data Quality marks a rule disabled | The required workspace capability is not enabled. |
| Workforce numbers look low | Check the selected date range and whether work is completed inside that period. |
| PPM Forecast has no future workload | Confirm work has future scheduled dates or target months. |
| A summary card seems wrong | Open the owning desk first; dashboards are derived surfaces. |
