Scheduler Quickstart
Open the scheduler, understand the layout, schedule your first job, and deploy it to the field in under five minutes.
Before you start
- You have admin or scheduler-operator access to a Deucalion workspace.
- At least one site, one system, and one engineer exist in the workspace.
- The engineer has field-work eligibility enabled.
Expected outcome
You can open the scheduler, assign work to an engineer, set a date, and deploy the job so it appears in the engineer's mobile day run.
Open the scheduler
Click Scheduling in the main navigation. The scheduler opens in the view you last used — board, day timeline, week timeline, or map.
The page is divided into three regions:

The filter bar runs across the top. All filter and view state is stored in the URL, so you can bookmark or share any scheduler view.
Find or create a job
Jobs appear in the scheduler automatically when inspections or work orders are created. You can also create scheduler-native tasks.
To find existing work:
- Use the focus tabs above the planner list — start with Unassigned or Unscheduled to find work that needs attention.
- Alternatively, use the search field to find a specific job by title, site name, or postcode.
To create a planner task:
- Click New Task in the action bar.
- Fill in the title, type, and optionally link it to a site and system.
- Save.
Assign an engineer
- Click a job card to open the Quick View dialog.
- Select an engineer from the Assignee dropdown. Only engineers with field-work eligibility appear.
- Save.
Alternatively, in the Board view, drag the job card from the Unassigned lane into an engineer's lane.
Set the schedule
In the Quick View dialog:
- Choose a scheduling intent — either an exact date or a target month.
- If exact date: pick the date and optionally set a time, schedule window, and flex tolerance.
- If target month: pick the month. The job will appear in that month's planning view.
- Set the booking status. Start with provisional unless the appointment has been offered or confirmed.
- Set the estimated duration in minutes.
- Save.
Add operational metadata
If the job requires special equipment, a multi-person crew, or out-of-hours access:
- Open the job's Quick View.
- Set crew size if more than one person is needed.
- Select access equipment — MEWP, scaffold, tower scaffold, ladder, cherry picker, rope access, or harness.
- Toggle out of hours if the work must happen outside normal hours.
- Save.
Badges appear on the job card so the team can see requirements at a glance.
Check deployment readiness
Before deploying, verify the job has no blocking warnings:
- Look at the job card — a warning icon means issues need attention.
- Open the Quick View to see the full warning list.
- Common blockers: no engineer assigned, no date set, site access rules violated.
Use the Ready to deploy focus tab to see all jobs that pass validation.
Deploy to the field
- Select the job using its checkbox (or select multiple jobs).
- The selection bar appears with available actions.
- Click Deploy.
- Review the deployment preview — it shows which jobs are ready and which are blocked.
- Confirm.
Deployed jobs:
- Receive a timestamp and batch ID
- Trigger email notifications to assigned engineers
- Appear in the engineer's My Day Run in the mobile app
- Show Deployed ○ (awaiting) until the engineer opens their day run, then update to Deployed ✓ (acknowledged)
Any scheduling change after deployment (date, assignee, duration) resets the job to draft — you must re-deploy after making changes.
